  • Overview

    The Vendor Compliance Specialist is responsible for supplier quality programs including approval, performance tracking, audits, raw material specifications and technical information. Administers the assigned components of the quality management system including document control, and performing internal audits within the quality management program.  Acts as QMS software program (Verse) administrator including system design, setup and operation. Assists various departments which have responsibility in the Saratoga quality management program to develop and manage documents, complete corrective and preventative actions (CAPA), prepare for external audits and other required activities.

    Responsibilities

    • Executing the approval process in partnership with R&D, Regulatory and Procurement; acquiring, reviewing and approving supplier documentation; creating raw material specifications and testing plans.
    • Works with Operations and QA to gather complaint information and works with suppliers and Procurement to properly resolve incidents including corrective and preventive actions. Evaluates supplier performance by monitoring test results, compiling performance and non-conformance history for periodic reports and recommends supplier performance feedback to the business for actions such as improvement requirements or disqualification. 
    • Performs supplier on-site visits and audits to meet business needs.
    • Participates in the development and implementation of supplier quality programs, supply chain risk management programs including raw material hazard analysis, supplier and food fraud risk assessments.
    • Supplier Quality
      • Develops raw material specifications. Works closely with R&D, QA Regulatory and suppliers in creating and maintaining ingredient and packaging specifications.  Participates in raw material analysis and evaluation as needed.
      • Maintains supplier documentation. Requests and maintains raw material supplier specifications and required technical information including nutrition, allergen, GMO etc.  Assists Regulatory Specialist in requesting detailed information to support product labeling and regulatory compliance.
    • Troubleshoots supplier issues for specifications, COAs, and functionality with R&D and Operations.
    • Directs trials, recommends actions and writes final reports for packaging material projects.
    • Develops and maintains supplier scorecards and performance tracking, recommends supplier feedback for business reviews.
    • Participates in supplier meetings and performs supplier on-site quality audits and visits.
    • Internal Auditing
      • Maintains QMS internal audit schedules and plans to meet BRC and customer requirements
      • Acts as Lead auditor in assigning and performing internal audits
      • Reviews internal audit findings with relevant departments and monitors completion of agreed upon corrective actions
    • Follows GMP, Quality and safety practices.

    Qualifications

    • Bachelor’s degree (B.A.) in Food Science or related field from a regionally accredited four-year college or university and 2+ years’ relevant experience working with supplier quality; or equivalent combination of education and experience.
    • Trained Internal Quality Auditor.
    • Knowledge and understanding of quality assurance principles, food processing, SPC and statistics; preferred.
    • Understanding of quality control processes related to the food processing industry
    • Ability to uphold regulatory, company and customer standards.
    • Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
    • Intermediate level knowledge of Word, Excel, and data bases.
    • Excellent written and verbal communication skills.
    • Strong decision making and problem solving skills.
    • Excellent planning and organizational skills with demonstrated multi-tasking and project management skills.
    • Ability to work independently and use a project management approach to work including design of project, setting milestones, establishing timelines and communicating updates as appropriate.

    • The majority of the time is spent in an office setting outside of the production plant, but also performs internal audits and packaging trials in plant environment.  The plant environment will include wet or humid conditions (non-weather related), extreme cold and heat (non-weather related), working near moving mechanical parts, exposure to fumes or airborne particles, and chemicals.
    • This position requires the ability to stand for extended periods of time as well as sitting.  The ability to walk within a production/manufacturing environment is required. 
    • The ability to lift a minimum of 20 lbs. is required.
